Team Management
Add processors, promote managers, and remove access when people leave. Team changes take effect immediately.
Roles at a glance
Owner — full access to everything, including billing. Every store has exactly one owner, the person who signed up. Ownership can be transferred but not shared.
Manager — access to the workstation, team management, and discount rules. Managers can invite new employees, adjust pricing rules, and see reports. They can’t change billing or transfer ownership.
Processor — the workstation only. Scans, prices, and refreshes SKUs during shifts. No configuration surface, no chrome, just the tool.
Most stores run with one owner, one or two managers, and the rest of the team as processors. Larger stores with multiple shifts often promote a shift lead per shift to manager.
Inviting an employee
Go to Settings → Team → Invite. Enter the person’s email and choose their role. They receive an invitation email with a setup link.
The invitation is valid for a limited time and can only be used once. If it expires, or the person didn’t receive it, resend from the same page.
New employees set their own password during account setup. Neither you nor Outlet Pricer support ever sees their password.
Changing someone’s role
Go to Settings → Team, find the person, and update their role. Changes take effect on their next request: they don’t need to log out and back in.
Promoting a processor to manager gives them access to Settings → Discount Rules and Settings → Team. Demoting a manager to processor removes that access immediately.
Removing access
Go to Settings → Team, find the person, and remove them. Their account deactivates immediately, and any active sessions end on their next request.
Removed employees stay in your team history for audit purposes, so you can still see who did which scans after they’ve left. They just can’t log in.
If someone leaves and later returns, invite them again with the same email. Their history connects to the new account automatically.
Transferring ownership
Ownership transfers require both people to act:
- The current owner starts the transfer from Settings → Team → Transfer Ownership and enters the new owner’s email. That person must already be a manager or processor in your store.
- The new owner receives a transfer request email and confirms it. Once confirmed, ownership moves.
- The previous owner drops to manager automatically. To leave the store entirely after transferring, the new owner can remove that access from Settings → Team.
Transfers are recorded in the audit log with both confirmations. To reverse one, contact support@outletpricer.com and we’ll walk you through it.
When someone quits
- Remove their access from Settings → Team → Remove.
- If they were a manager, review recent discount rule changes to make sure nothing was set unexpectedly before they left.
- If they were the owner and no successor exists, contact support. We’ll help transfer ownership to an existing manager, or set up a new owner.
Their scan history stays for reporting. Only login access is removed.
Auditing team activity
Owners and managers can see per-person activity in the reports section: scans performed, prices set, overrides logged. This is how you check that pricing decisions match your expectations without watching every scan in real time.
Look at reports weekly during onboarding, then monthly once the team settles into a rhythm.
